The system guides you through all stages of a case from file opening to conclusion. The software is highly adaptable and can be applied to all areas of PI work including RTA, Trip/Slip, Medical Negligence, Employers’ Liability, Etc.

At the heart of all the LAWFUSION™ Case Management system lies a powerful database for gathering all case information and correspondence. Full contact details are stored for all connected parties - Clients, Experts, Solicitors, Counsels, Witnesses, Hospitals, GPs, Police Stations, etc.
All communication and correspondence is stored against the case - phone calls, letters, faxes, emails, photographs, forms, sound files, etc. You have a choice of using the Electronic Postroom or the direct scan to case feature, to ensure any paper information can be quickly and efficiently added to a file.
Incoming emails and/or attachments can be added directly from Microsoft Outlook with a simple click without having to drag and drop although this is still supported.
In addition to the Anti-Money Laundering checks that are managed during file creation the system can prompt for further checks when new information and contacts are added.
As soon as the system recognises that a new case has been opened, it automatically collates important information and generates all relevant start up documentation. The Fee Earner only has to enter the details once to make the information on the case available to all.
Forewarned is forearmed, so built into the system is a ‘workflow’ module with pre-planned steps ensuring standards and consistency are maintained. Furthermore they can help de-risk the work.
The steps can be tailored very easily to suit your own way of working; ensuring that all work is done in exact accordance with your own procedures (or possibly, the panel you are representing) and that all steps are monitored and audited for peace of mind and quality of service.
LAWFUSION™ automatically calculates the correct limitation dates taking into account the age of the claimant at the time of the accident. Limitation dates are highlighted on the case file main enquiry screen, case file diary, Fee Earners diary and also via the Priority Action List module. A priority countdown (i.e. three months left, two months left) can be set up to suit the firms preferred approach. A specific management report can be created to highlight these time frames also.
By having the system handle all of the non-legal processes (i.e. letter production, enquiries and progress chasing) and working as a team, most of our clients have seen a pro-rata cost reduction of at least 25%.
The system as standard has over 25 legal forms i.e. N244, N254 and N215 and over 50 standard letters and documents i.e. instruct doctor, request police report and Instruct medical expert, which are all produced by the system at the click of a button. Every letter, document and form generated can also be dispatched automatically or manually by print, fax or e-mail with optional conversion into PDF form if required.
All references, file details i.e. date of accident and circumstances of accident names and addressees are merged into these letters and documents and each can optionally be edited immediately prior to dispatch to maintain a professional but personalised approach to client service.
As well as storing and indexing outgoing documents, all incoming letters and documents can optionally be scanned, attached, dropped in or allocated and logged against the case file.
This provides a complete history of each PI case file on-line. This could include photographs i.e. accident site and physical injury, scanned forms/documents and other graphics related to the claim, all of which are therefore instantly available to all relevant staff from their own desktop PC.
Document version management is also available allowing full and sub-revisions to be produced. A version tree clearly shows a documents history.
The Document Assembler tool allows users to collate numerous documents together and add an index sheet to the front document to create a single PDF file. The user can select documents individually or pick from a selection of assembly types. Pre-configured assembly types can intelligently added or excluded based on case information previously supplied.
The ability to search the contents of documents is provided with the optional Sharepoint server integration.
Text Messages are a quick and easy way of keeping clients and related parties informed of progress and reminding them of important appointments, e.g. the system could text the client to remind them of a doctor’s appointment the day before.
Text messages can be sent direct to clients and third parties' mobile telephones if required. They can be controlled case by case and ad hoc messages can be sent when needed. Messages can be pre-defined and automatically sent when key steps are actioned.
LAWFUSION™ can automatically publish selected case information and correspondence to a secure web site. This enables your practice to make information available around the clock to private clients and third parties' such as referral intermediaries, insurance companies, etc. The look and style of the online site can be configured to reflect that of your own, so users visiting from a link on your site need never know that they had left.
As each letter or form is produced and each step is progressed or action taken, the system can automatically record a set amount of time or prompt the user with a suggested time booking. This ensures no time is missed and an accurate time record is made but still giving the user full control over what is actually recorded.
If any work is performed ‘away from the system’ this time can quickly and easily be added to the file using a quick entry input form. A start/stop clock based timer system is also available that remains on top of the screen whilst the work is being done. For those Fee Earners with targets to meet, a Time and Fees target monitor is available.
The recording of disbursements is made easy with the integration into LAWFUSION™ Accounts. Hospital Record Fees, Court Fees, GP Note Fees, Source Agents Fees, etc and all can be recorded and managed for every claim to ensure an accurate breakdown of all transactions. Alternatively you can choose to have the system simply produce the accounting chitty and record the costs against the case.
Full posting requests and direct posting options are available allowing users to manage ledgers directly (controlled via privileges) or to simply notify accounts of a posting request.
Every Personal Injury case file and every user of the system has their own diary and task planner. The task planner is linked directly with your workload and important dates and actions flagged automatically. Each task entry is cross-referenced on both.
It is very easy to see outstanding issues for a specific PI file and also for an individual to quickly see across their entire case workload on a case by case basis - a very quick way to review every file and ensure a single action is not missed.
As limitation dates are automatically scheduled with a date countdown you are always aware of the timescale for issuing proceedings on each client’s behalf.
